Abstract

An agency requires the presence of a filing information system to assist performance related to correspondence. Letters are a means of communication to transmit information from one party to another. The management of mail archives at SMP Negeri 5 Sorong City still uses conventional methods which are considered ineffective because they are prone to loss of data and letter reports as well as difficulties when searching for letters. The purpose of this study is to build a computerized mail archive management system to make it easier for admins to manage outgoing and incoming mail, search for letters and archive reports. The development method used is the Waterfall method including requirements design, analysis, testing, maintenance, and coding. The programming language applied is PHP (Hypertext Preprocessor) with the codeigniter framework, the software needed to build this system, namely MySql, Windows 10 operating system, XAMPP, PHP, Visual Studio Code and Javascript. The results obtained from this study are a system that is able to manage outgoing letters, incoming letters, disposition letters, and mail filing reports. Testing the system through the black box testing method with the results that the system has operated in a structured and well-organized.
